Nejzajímavější papírové plánovací systémy

Máte rádi papír? Ten pocit, když si můžete ve svém plánovači odškrtnout úkol, který jste právě dokončili, je totiž úžasný. Chcete mít znovu přehled nad svými úkoly a cestou kam směřujete? Už když jsem chodil ještě na základní školu, tak jsem listoval katalogy ADK a pak si tvořil formuláře podle jejich katalogu, protože na jejich diář jsem v té době neměl. Miluji všechny tyhle krásné zápisníky a diáře a čas od času si nějaký koupím. Někdy skončí za pár týdnů v šuplíku, někdy mi opravdu pomůže zamyslet se nad vším důležitým a udělat si pořádek ve věcech i snech.

Tady je přehled papírových krasavců, na které jsem při svém hledání narazil.

Klasika

Moleskine

Taková klasika, špičkové zpracování, velký výběr produktů, pokud hledáte maximální jednoduchost, Moleskinem určitě nic nezkazíte. Nabízejí i spoustu digitálních produktů s možností fotografování stránek nebo rovnou s inteligentní tužkou, kdy se při psaní zaznamenává zvuk i vše napsané a to pak najdete v aplikaci.

Filofax

Jedna z legend klasických kroužkových diářů, moc pěkně provedené desky, ale menší výběr náplní.

Franklin Covey

Asi nejpropracovanější systém plánování času, která znám. Můžete si nakoupit knihy, zajít si na školení a pak používat různé metodiky řízení času, vedení lidí apod. Pokud jste na to tedy dostatečně organizovaní.

České ručičky

ADK

Česká klasika - ještě tak před 15ti lety jste téměř nenašli manažera, který by ADK neměl na stole. Bohužel to tak nějak zůstalo a i když jsou dnes v nabídce už i moderní produkty, samotné formuláře jsou stále stejné, jako v roce 1990, trochu škoda.

Cleverminds

Dle mého názoru nejlepší český produkt - skvělé diáře, zápisníky a různé specifické pomůcky. Skvělé zpracování, promyšlené formuláře, Cleverminds vás bude bavit.

Doller

Takový český Moleskine. Pokud máte rádi jednoduchost a hezký design, mrkněte na to.

Papelote

Když je papír na prvním místě. Tady nehledejte žádný propracovaný plánovací systém, ale pokud chcete fakt skvělý papír, pěkný design a se zbytkem si nějak poradíte, proč ne.

Co možná neznáte

Dailygreatness

Pro mne asi největší pozitivní překvapení, co jsem našel. Dělají plánovače pro osobní rozvoj, cvičení, rodinu, ale také pro business. A třeba zrovna jejich Business Planner mi přijde hodně fajn. Začínajícím podnikatelům může hezky ukázat cestu a starým matadorům připomenout, na co je dobré myslet. Používám jej dodnes na dlouhodobé plánování pro svou firmu.

Midori Traveler’s Notebook

Jeden z nejstylovějších systémů, které si můžete koupit. Skvělé zpracování z Japonska, perfektní design a možnost utvořit si celý systém přesně ke svým potřebám. Ať už potřebujete diář, deník nebo něco, kam si budete schovávat vzpomínky z cest s Midori budete mít styl ;-).

SELF Journal

Zajímavé řešení ve stylu Moleskinu, ale s trochu více propracovanám systémem pro plánování úkolů, priorit apod.

Bullet Journal

Tihle na to jdou od lesa. Na všechno vám stačí prázdný list papíru a úspěch je skrytý v systému, který si můžete vytvořit sami velice jednoduchou formou. Můžete si koupit jejich zápisník, ale cennější je samotná metodika.

Full Focus Planner

Další poměrně propracovaný systém zaměřený hodně na samotné plánování úkolů a priorit. Ještě jsem nevyzkoušel, ale podle recenzí i webu nevypadá vůbec špatně.

Action Day

Moc pěkně dotažený systém pro manažery, freelancery, prostě pro lidičky, kteří mají hodně schůzek.

Agendio

Velice zajímavý nápad, kdy si můžete systém opravdu vytvořit přesně, jak potřebujete - přes web si můžete nakonfigurovat, jak budou vypadat stránky ve vašem diáři a objednat řešení přímo na míru.

The Mastery Journal

Asi poslední zajímavé řešení, které znám - soustředí se primárně na focus a získání disciplíny.

Diářů a systémů samozřejmě existují velké spousty, tyhle mi ale připadají nejzajímavější. Máte vy nějaké tipy na zajímavá řešení? Jste milovníky papírového světa nebo jste na tom jako já - rádi byste, ale digitální svět vás vždycky semele? ;-)

10 tipů pro lepší práci na dálku

Práce z domova nebo z jiného místa - téma, které rozděluje firmy i pracovníky. Jedni to podporují, jiní odmítají. Někdo toho doma udělá hodně a někdo téměř nic. V čem to je? Osobně provozuji “remote working” velice často - momentálně jsem například měsíc v zahraničí (i s rodinou), odkud pracuji. Když jsem v Česku, snažím se několik dní v týdnu pracovat z domova. Proč? Protože toho udělám podstatně více, než v kanceláři. K tomu ušetřím nějaké to CO2 při cestování a čas od času inspiruji někoho alespoň k zamyšlení se nad efektivitou schůzek, na které se člověk trmácí přes půl republiky.

Jasně, práce na dálku není vhodná pro každou pozici. Já vycházím ze své vlastní zkušenosti - řízení týmu lidí různě po republice v IT a marketingu - a tam se to dá.

Nejdříve se pojďme podívat na to, co si myslím od pojmech “homeoffice” a “remote working”.

Home office

Používá se, když potřebujete být doma - přijdou řemeslníci, je moc hezky na to, být někde v klimatizovaném open-spacu nebo se vám prostě nechce makat. Probíhá většinou tak, že děláte, že pracujete. Jste na příjmu, když někdo zavolá, napíše e-mail, ale k reálné práci to má hodně daleko. Více toho uděláte doma - koukáte na TV, chodíte do lednice, sekáte trávu, uklidíte, prostě cokoliv, co se dá, když zrovna někdo nepíše něco akutního nebo nemáte naplánovanou telekonferenci. To je pak nejdůležitější dávat si bacha na okolní zvuky - opatrně třeba s tlačítkem na vypnutí mikrofonu. Už jsem zažil mnohokrát, jak si někdo myslí, že má telefon ztišený v rámci společného callu - a nemá. Slyšet pak, jak to má dotyčný v paži, že stačí pustit telefon na hlasitý odposlech a může si dál hrát s malou, protože se na té poradě stejně nic nevyřeší, je dost vtipné. Pro ostatní.

Remote working

Sem neutíkáte, tohle je váš standard nebo prostředí, které potřebujete. Místo, kde chcete pracovat. Může to být doma, v lese, v kavárně, v knihovně, na jachtě, prostě kdekoliv, kde vás to inspiruje. Hledáte klid? Čas od času, když potřebuji připravit něco složitějšího, nasednu na kolo, do batohu hodím iPad a vyrazím do Zadní Doubice - je tu takový altánek, pohodlné sezení, ticho a není tu signál. To je vám focus! Naprosto parádní místo na to se nad věcmi opravdu zamyslet. 15 min na kole tam, 15 min zpátky a věřte, že se to vyplatí. Online a s vyrušováním byste to připravovali 3 x déle. Většinou je to ale práce z domova, z domácí kanceláře či jiného prostředí, kde se pracovat dá.

10 tipů pro lepší práci na dálku

  1. Konektivita - Ať už datová nebo mobilní - kvalitní internet a signál operátora na telefonování je základem. Není nic horšího, než pracovat z domu tak, že kolegové cítí, že to “není ono” - máte pomalý internet, špatný obraz na kameře, vypadávají hovory.

  2. Okolí - Pokud za váma budou běhat děti, že chtějí najít lego kostičku, pokud vám budou v pozadí štěkat pejsci, zpívat ptáci, soused řezat dříví, tak ostatní nepřesvědčíte, že opravdu pracujete. A hlavně tak pracovat prostě nejde - dříve nebo později sklouznete k tomu, že tam se půjdete projít s pejskem, teď zase na chvilku pohrát s dětmi a z práce na dálku je v tu ránu homeoffice.

  3. Režim - Jste v práci a v práci má člověk režim. Nechodí k vám sousedi na pivo, pošťáci nevozí balíky, naopak ale jdete na oběd nebo si dáte kávu. Mějte režim, jako když jste v práci. Nemůžete pracovat a zároveň se věnovat řemeslníkům, kteří vám zrovna předělávají kuchyň, naplánujte si je na odpoledne, jste v práci, i když jste doma.

  4. Důvěra - Bez důvěry kolegů a partnerů, že “tam někde” opravdu pracujete, to samozřejmě nelze. Někdy je to těžké, jsou lidé, kteří znají jen homeoffice a pak pro ně vlastně nepracujete, ty zkuste přesvědčit, že vy pracujete jinak. Pokud za vás hovoří výsledky, není co řešit.

  5. Komunikační nástroje - Vaše firma nebo partneři musí být v mnoha ohledech na práci na dálku připraveni - já si neumím představit fungování bez Slacku, online nástrojů pro project management a videokonferencí. Někdy je to fuška - zvlášť, když většina firmy pracuje onsite a menšina vzdáleně - potřeby obou skupin jsou pak zcela odlišné. Jedna skupina si polovinu informací řekne “přes stůl” a druhá vše komunikuje například přes Slack. Onsite lidé si pak klepou na hlavu, co tam ti “remoteři” žvaní za blbosti. Ale oni to potřebují, oni totiž mají mezi sebou ten Slack a né stůl.

  6. Komunikace - Když pracujete na dálku, musíte o to více komunikovat s ostatními. Najednou se nevidíte v kanceláři, neprohodíte pár slov na chodbě, nevíte, jaká nálada panuje v kanclu a jaká u vás. Je potřeba komunikovat, více než komunikujete normálně.

  7. Prostředí, pohodlí - Měli byste pracovat na místě, které vám sedí. Někomu bude vyhovovat kavárna a nebude mu vadit okolní hluk, já preferuji klid, to už je na každém. Základem je ale slušné sezení, na stoličce u kuchyňské linky s hučícím vysavačem kolem, toho moc neuděláte.

  8. Technika - Zní to banálně, ale je to také důležité - kvalitní vybavení - mikrofon, sluchátka, webkamera, klávesnice, monitor - tady se rozhoduje o tom, jak vás budou vnímat ostatní - zda budete v zasedačce jen rozmazaná a sekající se šmouha nebo zda si budou říkat, že to na dálku fakt jde. Hlavně pro audio či videohovory jsou základem kvalitní sluchátka s mikrofonem a dobrá kamera (né, ta v notebooku nebo tabletu není dobrá, ať máte jakýkoliv HW, už jen svým úhlem).

  9. Video - Tohle bylo i pro mne velké překvapení. Na co se vidět? Proč videohovory? Stačí, že se slyšíme! Není to tak. Mám za sebou stovky hodin telekonferencí a videohovorů. Video je nej. Jde tam totiž všechno vidět - že místo toho, abyste se věnovali ostatním, si píšete na počítači, jak jste oblečeni, jak se tváříte a stejně samozřejmě i naopak. Podporujte videohovory, jak to jen jde a uvidíte, že se vám to vrátí.

  10. Lidi - Lidé jsou důležití, choďte mezi ně, neberte remote working jako jediný formát. Jeden čas jsem chtěl pracovat opravdu jen vzdáleně, byl jsem 4 týdny doma, pak jsem vyrazil na schůzku do Prahy a nebyl jsem schopen složit dohromady rozumnou větu.

Samozřejmě každému vyhovuje něco jiného, toto berte jen jako mé zkušenosti. Na dálku pracuji přes 10 let, začínal jsem ještě v dobách, kdy pojmy jako remote working a digitální nomádství nikdo neznal a když jsem se zmínil, že pracuji z domova, byl jsem za slušného exota - to ale neznamená, že mé tipy vám sednou, chce to prostě hledat. 

Mám štěstí, že mí partneři a kolegové, jsou na práci na dálku zvyklí. V Good Sailors je práce na dálku vpodstatě standard a celá firma je tak nastavena. V Datasysu, kde pomáhám s marketingem, se podařilo dokonce pořídit profesionální videokonferenční řešení a porady na dálku tak vypadají jako v roce 2018 - je to jako když sedíte vedle kolegyně v Praze. Samozřejmě jsou věci, které se na dálku řeší hůře a v tom případě neváhám sednout na vlak či do auta a vyrazit, remote working by neměl omezovat ani vás, ani vaše partnery, to je pak všechno špatně.

  • iPad Pro 10.5” na cesty (na jednání a cestování si notebook neberu)

  • AirPods na telekonference a videohovory, Sennheiser Momentum M2, když potřebuji více klidu, než nabízí okolí

  • Scanner pro scanování dokumentů a tiskárna v pracovně, když někdo potřebuje něco podepsat a poslat zpět

SW

  • Slack (bez něho si opravdu neumím představit fungování)

  • MeisterTask pro správu úkolů napříč týmy

  • Starleaf pro trochu lepší videokonferencování

  • Skype, když někdo vyžaduje, ale využívám už jen okrajově

  • Paper by 53 na kreslení

As you may know, I live in a a 200 years old cottage. I always wanted to have my own study in our house. But our house is quite small and the only room which was available for me was a former shed. Is it possible to build a comfortable workspace there? Yes, it is ;-).

10 Tips How to send event invitations

I have more than 800 meetings every year and so I send and recieve a lot of calendar invitations. More and more people use calendar invitations from their Macs, PCs and mobile devices - it's easy, fast and sometimes it works. But only sometimes.

MS Outlook invitations are the best - only an ICS file in e-mail. Don't you have a compatible e-mail client? Open your TextEdit or Notepad and read it, it's fun! Google is a little better - sending ICS and text information which is really hard to read. iCloud (why I'm using iCloud) sends ICS file and quite a nice e-mail - but all in all - the only way how to effectively use calendar invitations is to use the same system as your  contacts. I can't believe that it's 2014 and we're still not able to invite our friends to a party. I have some tips how to upgrade your invitations to the whole new level!

More invitations is better

If you're planning your meeting via phone, agree that both of you will send the calendar invitation. It's better to have 2 invitations in your calendar. Especially if you'll update your meeting data, it's greater challenge for both of you.

Event name is not important

Don't use event names that means something. If you have a lunch about marketing campaign with George, just name your event "George". I'm sure that George will appreciate this. If you combine this with Tip #1, your game is starting.

Update as much as you can

Updating your events is great for all invited friends. First of all - choose any free slot in your calendar, type your event, invite people, send invites and then start to look for the best day and time. Tens of update e-mails are great for all of you.

Location - not important

Location is not important in your calendar events. I suggest you using your own shortcuts and names that nobody can understand. Beware of using addresses, GPS or the real name of a restaurant where you plan to meet with your business partners. They could find it easily on Google and the game is over. Something like "The pub we go every friday with our friends" is the best one.

Don't use notes

Nobody uses Notes section in event invitations. Beware of adding anything useful (agenda etc.). The only thing which is acceptable is to write an agenda for a different meeting. Show must go on!

More invites, better meeting

Send your invitation to all available e-mail addresses of your contacts. More invitations sent is better. Better safe than sorry

Time is not important

If you have a meeting from 10am to 10:30am, feel free to invite for an event from 9:30am (30min is your travel time) to 11:30am (the meeting could be longer). If you want to be a calendar guru, set all your events as "all-day" and use your smartphone to call when you'll meet with your business partners - they have a lot of time and they can wait for you for all-day.

Use alarm

Set at least 5 alarms for an event: 3h before, 1h before, 30min before, 15min before and on the meeting. People you invite will love it!

Repeating events

If you really want to tune up your friend's calendars, use automatic repeating for events. Click on repeating, set custom, configure something really cool and invite your friends. 

Use your local language

If you are planning international meetings, be sure to use your native language that nobody can understand. Something like "Táboření v přírodě s přáteli" rocks!

  1. GTD is for people, who don't need it. If you're a really busy person, you're not able to follow the rules of GTD. And if you don't have a problem to work with GTD after some time, you don't need GTD.

  2. GTD is a cult. It has its devotees who use it and devotees that are not able to use it, but it's still hot if they join the club.

  3. Inbox is a repository that enables you to do any stupidity that ever comes into your mind.

  4. Half of all the tags is only a way to procrastination, it allows you to think that you don't have to do this today and that you can actually postpone it.

  5. GTD is like an analogy photography of our time. It's fine and you like it, but the practical contribution is minimal.

  6. If you can do something in two minutes, it actually doesn't mean that it's good to do it. It is not important to do anything as far you are doing something, it's important to do things that make sense and do matter in your life.

  7. We have hundreds of GTD applications on the market and most of the users are still waiting for something better, for something that would finally be the right choice. But if there are so many developers who can't develop the right app for GTD, something is really wrong here.

  8. Without priorities, there is no direction. GTD helps you clean your head of the important things you don't want to do, but if fills it with unimportant things that you are wiling to do instead. Just keep doing something. Anything.

  9. It's old. In the year 2002 we worked on absolutely different bases, without messengers and social sites.

  10. How many really successful people use GTD? Successful people concentrate on what they are doing, not really on the system.

  1. GTD je pro lidi, kteří jej nepotřebují. Pokud jste hodně aktivní člověk, nejste schopen dodržovat pravidla GTD. Pokud s časem na práci s GTD nemáte problém, nepotřebujete GTD.

  2. GTD je kult. Má své vyznavače, kteří jej používají a vyznavače, kteří nejsou schopni jej používat, ale je to sexy, tak se k němu hlásí.

  3. Inbox je skladiště, které vám umožní dělat každou hloupost, která vás kdy napadne.

  4. Polovina vašich tagů je jen cesta k prokrastinaci, umožní vám myslet si, že to nyní dělat nemusíte a odložit.

  5. GTD je jako analogová fotografie v dnešní době. Je to fajn, líbí se, ale praktický přínos je minimální.

  6. To, že něco můžete udělat za 2 minuty neznamená, že byste to měli udělat, není důležité dělat vše, ale dělat to, co má smysl.

  7. Máme na trhu stovky GTD aplikací a většina uživatelů stále čeká na něco lepšího, co “bude konečně ono". Pokud neumí udělat podle GTD systému aplikaci stovky vývojářů, proč by mělo být dobré to používat? Něco tu není vpořádku.

  8. Bez priorit není směr. GTD vám pomůže vyčistit hlavu od důležitých věcí, které se vám dělat nechce a zaplnit ji věcmi nedůležitými, které dělat chcete. Hlavně pořád něco dělat.

  9. Je staré. V roce 2002 jsme fungovali zcela jinak, bez messangerů a sociálních sítí.

  10. Kolik opravdu úspěšných lidí používá GTD? Úspěšní lidé se soustředí na to, co dělají, nikoliv na systém.
